Join us on October 5 for #AskAnArchivist Day!

This day-long event, sponsored by the Society of American Archivists, will give you the opportunity to connect directly with archivists in your community—and around the country—to ask questions, get information, or just satisfy your curiosity.

To participate, all you need is a Twitter account. Log in and pose questions to the archives community, or tweet directly at an archivist at UMass Boston using our handle @UMB_Archives. Be sure to include the hashtag #AskAnArchivist in your tweets!

We will be closely monitoring our Twitter account all day on October 5 and will happily answer any questions that you send our way. Do you have a specific question about one of our collections? Do you need help locating materials for your research? Is there something you’ve been longing to know about archives in general? Well, now is your chance to ask us!

During my time as the processing archivist in University Archives & Special Collections at UMass Boston, I’ve been working hard to ensure our processing* procedures reflect current professional standards and are efficient and consistent. To that end, I led the department in the development of a processing manual to assist students, interns, and volunteers, as well as other library and archives staff, with archival processing projects. Importantly, my colleagues Jessica Holden and Joanne Riley played pivotal roles in preparing, testing, and championing the development of this manual – not, I should add, a quick and easy undertaking!

(*Processing is the term archivists use to describe the work of making a new collection ready and available for access to researchers, students, and staff. Donated collections often come to the repository in disarray. Boxes and folders are unlabeled, disorganized, and dusty, and may contain duplicate materials and personally identifiable information. It is the archivist’s job to ensure ease of access, and to assimilate the historical relevance and material content of the collection and communicate this knowledge in the finding aid for researchers.)

As part of keeping tabs on activities in the archival professional community, I am a member of the NEAdiscuss listserv, a listserv created for the New England archives community to encourage communication and announcements pertaining to the profession.

Last week, I noticed an email come through the listserv inquiring about processing plans and workflows. Immediately after this email, several other members of the listserv responded, indicating their interest in this information.

At the University of Massachusetts Boston, we are fortunate to have ScholarWorks, an open access digital repository for scholarship and research by faculty, staff, and students at the university and managed by staff in the Joseph P. Healey Library. We had been planning to post the manual to ScholarWorks for some time and this exchange on the NEAdiscuss listserv moved us to action.

After posting our processing manual to ScholarWorks on February 11, I forwarded the link to my colleagues in listserv-land. To my surprise, the manual was downloaded 35 times in 24 hours and, as of today, the manual has been downloaded almost 50 times!

The importance of sharing ideas, workflows, and practices in the archival profession cannot be understated. It encourages collegiality and limits the duplication of effort, ultimately advancing the profession. This is especially important as archivists forge ahead with the digitization of archival collections. As nerdy as it may seem, our seemingly obsessive, hyper-vigilant focus on processes and workflows is essential to providing access to archival collections for communities of researchers, students, faculty, and staff.

I welcome any feedback or thoughts on our department processing manual. The manual will be updated periodically, as our work processes evolve to support current and new materials. Please check ScholarWorks for the most updated version.

UMass Boston archivist discusses Mass. Memories Road Show at Society of American Archivists annual meeting

Last week, Jessica Holden, the reference archivist in the Joseph P. Healey Library at UMass Boston, headed to Cleveland, Ohio, for the annual meeting of the Society of American Archivists (SAA). On Friday of this year’s conference, Jessica was a co-presenter in a session focused on nontraditional outreach methods used by archives and museums and “how archivists and museum curators can forge connections with a wide variety of communities and grow our profession via new and creative approaches to outreach programs.” See the full listing in the online conference schedule here.

In her presentation – titled “Forging Connections and Building Collections: The Mass. Memories Road Show at UMass Boston” – Jessica discussed the Healey Library’s successful statewide digital history project, the Mass. Memories Road Show, and described aspects of the project that are of unique interest to archivists and museum professionals. In particular, Jessica described how the project brings archival resources out into communities (rather than expecting communities to come to an archives) and how this outreach model helps us reach new audiences and establish richer partnerships within those communities.

In addition to Jessica, other presenters in this session were Caitlin Brennecke from Troy Historic Village, Caitlin Christian-Lamb from Davidson College, Kelsey Duinkerken from Thomas Jefferson University, and Anne Morgan from the Imperial Valley Desert Museum. The session was moderated by Michelle Ganz from Lincoln Memorial University.

The Mass. Memories Road Show is a statewide digital history project that documents people, places and events in Massachusetts history through family photographs and stories. In partnership with teams of local volunteers, we organize public events to scan family and community photographs and videotape “the stories behind the photos.” The images and videos are indexed and incorporated into an online educational database. Since its launch, the project has gathered more than 8,000 photographs and stories from across the state. It is supported in part by the Patricia C. Flaherty ’81 Endowed Fund at UMass Boston.

Boston bicycling history in the news… and in the archives

Congratulations to author Lorenz Finison, whose book Boston’s Cycling Craze, 1880-1900: A Story of Race, Sport, and Society has been named one of The Boston Globe’s Best New England books of 2014! Published by the University of Massachusetts Press, Boston’s Cycling Craze, 1880-1990 “explores the rise of Boston cycling through the lives of several participants … [and] reveals the challenges facing these riders in a time of segregation, increased immigration, and debates about the rights of women.”

After completing work on his book, Larry Finison donated several archival collections, research materials, and publications that he’d gathered from groups, organizations, and individuals connected to the history of bicycling in Boston and around the world. The significance of these acquisitions, their relation to other collections held by the University and the fact that no other repository is preserving this material led UMass Boston to add the history of bicycling in the Boston area to its formal collection policy in August, 2014.

To that end, we are excited to announce that archivist Meghan Bailey has completed processing the first of these new collections documenting the surprisingly complex and rich history of bicycling in the City of Boston: the papers of Ralph W. Galen, which were donated to University Archives & Special Collections by Larry Finison, on behalf of Galen’s daughter, Terry Galen.

Dr. Ralph W. Galen, also known as “Wally” by his childhood friends and family, was born in Pittsburgh, Pennsylvania, and resided for many years in Lexington and Cambridge, Massachusetts. In 1954 he completed his graduate work in orthodontics at Tufts University School of Dental Medicine, where he received an appointment as a teaching fellow. He practiced orthodontia in Cambridge for nearly forty years.

Galen may be best known for his passion in the cycling world, co-founding the Charles River Wheelmen bicycle club in 1967 with his friend Fred Chafee . He later became president of the League of American Wheelmen, a national bicycling organization established in 1880 and reorganized in 1965 following a ten-year hiatus, where he became Life Member #1. In his early years with these organizations, Galen rode to Expo 67, part of Canada’s Centennial celebration in 1967, and across the United States. Later, Galen rode through thirteen countries in Europe, the Middle East, and Africa, and authored a book about his journey entitled 2 Wheels 2 Years & 3 Continents: A Bicyclist’s Dream Fulfilled. Over the course of his lifetime he rode “boneshakers,” “high wheelers,” tandems, fixed gear, and road bicycles. He also amassed a collection of antique bicycles, which he later donated to the Lars Anderson Auto Museum in Brookline, Mass.

Ralph Galen received two patents along with fellow inventor John Vanderpoel, one for a bicycle safety flag apparatus in 1997, and another for a bicycle rack in 1976. He also invented a side mirror, which clamps onto the front fork next to the front wheel of the bicycle.

This collection documents the activities of Ralph Galen, including the activities of the Charles River Wheelmen Board of Directors dating from the early 1970s. Formats include minutes, notes, and agendas. The collection also contains personal materials, including records of Galen’s inventions for bicycles, correspondence with friends and family, and his notes and writings pertaining to articles and the book 2 Wheels 2 Years & 3 Continents.

Call for Collection Donations: Boston Harbor and the Harbor Islands

University Archives & Special Collections in the Joseph P. Healey Library welcomes inquiries from individuals and organizations who are seeking an archival home for materials that may now be riskily stored in basements or old file cabinets but that would serve as valuable research materials for scholars, students, and the general public.

UMass Boston’s Archives and Special Collections collects, preserves and makes accessible materials that document our coastal location, urban mission, and strong support of community service.  This includes systematically expanding our collections related to the history, geography, geology, and cultural heritage of our “neighbors to the east”, the Boston Harbor Islands.

UMass Boston’s existing research collections that document Boston Harbor and the Islands include:

We have begun adding photographs, documents, and oral history interviews collected over the years by the Friends of the Boston Harbor Islands along with the Friends’ own early organizational records, and aim to expand the collection to include many of the partners who have made possible the establishment and stewardship of the Boston Harbor Islands National Park Area, as well as individuals who have documents, records, photographs, or stories to contribute.  Please contact library.archives@umb.edu for more information.
